We also may provide your Personal Information to third-party service providers who work on behalf of or with us to provide some of the services and features of this website and to help us communicate with you. We use a variety of industry-standard security technologies and procedures to help protect your Personal Information from unauthorized access, use or disclosure. Even though we have taken significant steps to protect your Personal Information, no company, including us, can fully eliminate security risks associated with Personal Information. In addition, no data transmission over the Internet or any wireless network can be guaranteed to be 100% secure. As a result, while we employ commercially reasonable security measures to protect data and seek to associate with companies which do the same, we cannot guarantee the security of any information transmitted to or from the website and are not responsible for the actions of any third parties that may receive any such information.

Notice of Privacy Rights to California Residents. Pursuant to California law, we are required to provide you with a summary of your privacy rights under the Online Privacy Protection Act (the “Act”) and the Business and Professions Code.  If you elect to provide it, we only collect your name, e-mail and any information in any message you provide to us on our “Contact Us” page.  We do not share your Personal Information with third parties for direct marketing purposes.  If this status changes, we will update this policy.

By law, at your request, we will inform you of: (1) the categories of Personal Information we collect and what third parties we share that information with; (2) the names and addresses of those third parties; and (3) examples of the products marketed by those companies. We will allow you to control who you do not want us to share that information with. To obtain this information, you may send a request by email or standard mail by using our “Contact Us” page. In your request, please include your name, address, email address and what Personal Information you do not want us to provide to third parties. The request should be sent to the attention of the “Semaphore Legal Department” and should be labeled “California Customer Choice Notice.” Please allow 30 days for our response. There is no charge for any such request.

Advertising & Remarketing

We use Google AdWords Remarketing to advertise Semaphore across the Internet, in particular on the Google Display Network. AdWords remarketing will display ads to you based on what parts of the Semaphore website you have viewed by placing a cookie on your web browser. THIS COOKIE DOES NOT IN ANYWAY IDENTIFY YOU OR GIVE ACCESS TO YOUR COMPUTER OR MOBILE DEVICE. The cookie is used to indicate to other websites that “This person visited a particular page, so show them ads relating to that page.” Google AdWords Remarketing allows us to tailor our marketing to better suit your needs and only display ads that are relevant to you.

If you do not wish to see ads from Semaphore you can opt out in several ways:

PRIVACY POLICY – TAX AND BUSINESS INFORMATION

In accordance with Title V of the Gramm-Leach Bliley Act (GLB) also known as Regulation S-P, Semaphore Tax and Business Solutions, Inc. we make our privacy policy related to the collection of our client’s personal, business and financial information available to our clients via this website. Furthermore, we are required to adopt procedures to protect the security and confidentiality of our clients’ personal information.

Sharing Client Information

We consider all personal, business and financial information that you provide us to perform our services as confidential.  We do not sell your business and financial information to any party.  This is unrelated to our Google AdWords Remarketing program described in our website privacy policy below. Client information is limited to only those employees and independent contractors who need access to the information either to provide client services or to conduct firm operations. In order to provide the cross-service benefits Semaphore prides itself on, client information is shared by Semaphore employees within each Semaphore company (for example a Semaphore Insurance employee may share information with a Semaphore Tax employee). In addition, from time to time, a Semaphore employee may be required to share information with an independent contractor vendor or other party who is necessary to complete a particular transaction (e.g. Form 1099 service providers, 401(k) vendors).

 

Semaphore will not provide personal client information over the phone in response to an electronic communication or correspondence unless our employee or contractor has identified the person to whom they are speaking as either the client, a fiduciary representative of the client, or a party that needs the information to complete a transaction for the client, e.g. (401(k) or other agents). In the case of a fiduciary representative, we will obtain prior verbal consent from the client before giving out any information. With respect to professionals (accountants or attorneys) whom have an ongoing relationship with a client, Semaphore may accept written authorization from the client to provide ongoing information until such time as the client provides written notice that the relationship with the fiduciary has been terminated. We require prior consent from you before we will refer you to an unaffiliated professional where non-public personal information (even your name and phone number) is provided to the professional.

Physical Safeguards

Semaphore employees the following physical safegurards and employee policies to protect client information:

  • All client information is maintained on physical servers located at the company headquarters and backed up to a secure nationally-recognized, encrypted cloud source.
  • Client information may not be left unattended in offices or conference rooms.
  • We maintain client records in locked cabinets or desks when not in use.
  • Employees are required to lock their computer workstations when leaving their workstation.
  • We secure all client records at the end of the workday.
  • We lock doors and secure the offices at the close of business.
  • We grant after-hour access to the corporate offices only with Executive Level approval.
  • We destroy or shred records or documents containing client information before disposal.
  • We store computer passwords where others cannot find them; change passwords periodically; and create complex passwords.
  • We make sure access to client information is limited only to those employees who need this information to service clients or conduct firm operations.

 

Clients Who Reside in California

California Civil Code 1798.85 (2001) prohibits certain uses of social security numbers. Semaphore does not perform any of the following:

  • Publicly post or display in any manner an individual’s social security number. “Publicly post” or “publicly display” means to intentionally communicate or otherwise make available to the general public.
  • Print an individual’s social security number on any card required for the individual to access products or services provided by Semaphore.
  • Require an individual to transmit his or her social security number over the Internet unless the connection is secure or the social security number is encrypted.
  • Require an individual to use his or her social security number to access an Internet Web site, unless a password or unique personal identification number or other authentication device is also required to access the Web site.
  • Print an individual’s social security number on any materials that are mailed to the individual, unless state or federal law requires the social security number to be on the document to be mailed. Notwithstanding this provision, applications and forms sent by mail may include social security numbers.
